According to Najar’s 2025 SaaS Trends Report, tech companies spent an average of €3,734 per employee on SaaS in 2025. The report draws on real usage and spend data from over 180 European companies, all Najar customers.
For a sector that runs on software, that’s a moderate figure. The way tech companies buy explains why.

How do tech companies keep SaaS spend in check?
Tech companies had the highest users-per-tool ratio in the dataset, and costs still stayed moderate. The reason is standardisation. They choose platforms that serve engineering, product, marketing and sales alike.
Tools like Miro, Slack and HubSpot are common for that reason, since they’re flexible, widely adopted across teams and built to support collaboration at scale. Zapier works in the background, connecting those platforms to automate work and extend their value. The report likens it to compound interest, because broader adoption brings more value and more efficient spend.
Which SaaS tools do tech companies use?
Calendly was used by 53% of tech companies in the dataset, Miro by 52%, Atlassian by 51% and Zoom by 49%.

The pattern points to speed, collaboration and integration. Collaboration and communication tools are non-negotiable, project management tools appear with consistent strength, and tech companies are the likeliest sector to experiment with newer tools or features first.
How are tech companies using AI?
71% of tech companies used AI-enabled tools in 2025. Development and engineering led AI usage at 65%, followed by productivity and collaboration at 52% and customer support at 42%.

The report describes AI in tech as a force multiplier for teams that already move fast. It’s woven into the build process, supporting shipping, testing and how products come to life, while internal productivity tools help hybrid teams work more autonomously. Customer-facing uses are still emerging, and for now, speed is the priority.
What should tech finance teams take from this?
Standardisation is what keeps tech spend moderate, so it’s worth protecting as the company grows.
That gets harder as more tools are chosen outside IT.
“Today, we’re seeing a shift: it’s now the business units pushing for the adoption of specific tools, which can lead to redundancies and a loss of overall coherence.”
Najar’s SaaS buyers help keep a growing stack coherent, from spotting redundancies to negotiating renewals.
